Every week we get a call that starts the same way: "We just built out a beautiful conference room and the AV doesn't work." Sometimes it's echo. Sometimes it's cameras pointing at the ceiling. Sometimes it's a Zoom Room that locks up every third meeting.

These aren't freak accidents. They're the result of predictable, avoidable mistakes that companies make when they treat conference room AV as an afterthought instead of a system that requires proper design, installation, and integration.

As a company that has designed and installed AV systems in conference rooms throughout California, we've seen these patterns repeat across every type of space — from Fortune 500 boardrooms in downtown LA to twelve-person collaboration rooms in Culver City startups.

Here are the five most expensive mistakes we see, and how to avoid them.

1. Spec'ing Consumer Gear for Commercial Spaces

A Bluetooth speaker and a webcam from Best Buy will technically work in a six-person huddle room. They won't work well, and they won't work for long.

Consumer gear is built for a living room, not a conference room where the system runs eight hours a day, five days a week. The failure modes are different. A soundbar that works fine for Netflix at home will pick up HVAC noise and keyboard clatter in an office. A webcam designed for occasional Zoom calls won't handle the constant connection cycling of back-to-back meetings.

The hidden cost: You'll replace it in eighteen months, and in the meantime your team wastes time troubleshooting instead of working.

What works instead: Commercial-grade endpoints designed for the environment. That means ceiling microphones with acoustic echo cancellation, PTZ cameras with proper field of view for the room geometry, and DSPs that handle audio processing reliably.

2. Ignoring Room Acoustics

Audio is eighty percent of a successful video call. If people can't hear you clearly, the rest doesn't matter.

Hard surfaces — glass walls, concrete floors, drywall ceilings — reflect sound. A conference room with no acoustic treatment becomes an echo chamber. Your microphone picks up the echo, sends it to the far end, and everyone on the call hears themselves on a half-second delay.

"We've fixed more AV problems by adding acoustic panels than by replacing equipment."

Acoustic treatment doesn't have to mean foam tiles on the walls. It can be as simple as ceiling clouds, fabric-wrapped panels that double as design elements, or strategically placed furniture.

The hidden cost: Every meeting starts with "Can you hear me?" and ends with people giving up and switching to phone audio.

What works instead: Measure the room's RT60 (reverberation time) and treat it accordingly. In most conference rooms, you're aiming for an RT60 of 0.3 to 0.6 seconds.

3. Cable Infrastructure as an Afterthought

The single most common problem we inherit from DIY or low-bid installations: inadequate or incorrectly terminated cables.

Running the wrong cable type for HDMI over distance. Terminating Cat6 poorly so it works at 100Mbps but not 1Gbps. Using the building's existing infrastructure without testing it first. Forgetting to run power where it's needed.

These issues don't show up during the initial install. They show up three months later when someone tries to share a 4K presentation and the screen goes black.

The hidden cost: Ripping out drywall to fix a cable that was run wrong the first time costs three times what it would have cost to do it right.

What works instead: Plan the cable infrastructure before the drywall goes up. Test every cable with a certifier, not just a toner. Future-proof by running conduit or pulling extra cables even if you don't need them yet.

4. No Standardization Across Rooms

When every conference room has different controls, different interfaces, and different connection methods, your team spends the first five minutes of every meeting figuring out how to share their screen.

Multiply that by fifty meetings a week and you're burning hours of productivity on a problem that shouldn't exist.

The hidden cost: Onboarding new employees takes longer. Visiting clients get frustrated. IT gets support calls every time someone tries to use an unfamiliar room.

What works instead: Standardize the user experience across all rooms. Same touch panel layout. Same cable at each seat. Same "press this button to start a Zoom call" workflow. The backend can be different (small rooms might use different hardware than large ones), but the user shouldn't notice.

5. Skipping Professional Programming and Commissioning

Most commercial AV systems require programming — DSP configuration, control system logic, video routing matrices, network integration. This isn't something you can YouTube your way through.

The gear arrives, gets mounted, gets powered on, and then... nothing works together. The display doesn't switch inputs automatically. The mics don't mute when the room is empty. The camera doesn't track the speaker. Every meeting requires manual intervention.

The hidden cost: You paid for automation and intelligence but you're operating it manually like it's 2005.

What works instead: Hire someone who knows Q-SYS, Crestron, or Extron programming. Properly commissioned systems should be invisible to the user — lights dim when a call starts, cameras wake up automatically, audio adjusts for the number of people in the room.

The Real Cost of Getting It Wrong

The direct cost of a failed conference room install — rework, replacement equipment, lost deposit on unusable gear — is expensive enough. But the real cost is harder to measure: wasted meeting time, diminished remote collaboration, clients who see your technical difficulties and wonder if you're competent at your actual business.

Conference rooms are infrastructure. When they work, they're invisible. When they don't, they're a tax on every person who uses them.

If you're planning a new space or fixing an existing one, the best time to get the AV right is before you close the walls. The second best time is now.
