A working conference room system requires five integrated layers:
Audio is eighty percent of a successful video call. The microphone setup matters, but if the room itself has bad acoustics, no microphone will fix it.
Hard surfaces — glass walls, concrete floors, drywall ceilings — reflect sound. A conference room with no acoustic treatment becomes an echo chamber. Your microphone picks up the echo, sends it to the far end, and everyone on the call hears themselves on a half-second delay.
Common symptom: "Can you hear me?" followed by "You're cutting in and out" followed by everyone giving up and switching to phone audio. The equipment isn't broken. The room wasn't designed for it.
Acoustic treatment doesn't mean foam tiles on every wall. In most cases it's ceiling clouds, fabric-wrapped panels that double as design elements, or strategically placed furniture. We measure the room's RT60 (reverberation time) and treat accordingly. Target: 0.3 to 0.6 seconds for speech intelligibility.
Small collaboration spaces, typically 10' x 12'. Single display (55"-65"), soundbar or ceiling mic array, USB camera for plug-and-play operation. Wireless presentation. Budget: $8,000-$15,000 installed.
Most common corporate meeting space, 15' x 20'. Dual displays or single large display (75"-85"), ceiling microphone array, PTZ camera, touch panel control, network integration. Zoom Room or Teams Room certified. Budget: $20,000-$40,000 installed.
Executive presentation spaces, 20' x 30' or larger. Multiple displays, advanced camera tracking, DSP audio processing, sophisticated control systems, lighting integration. Often includes video recording and streaming capability. Budget: $50,000-$150,000+ installed.
Commercial conference room systems require programming. This isn't something you YouTube your way through.
DSP configuration, control system logic, video routing matrices, calendar integration — these need to be programmed by someone who's done it before. We're certified programmers for Q-SYS, Crestron, and Extron platforms.
Properly programmed systems are invisible to the user. Lights dim when a call starts. Cameras wake up automatically. Audio adjusts based on the number of people in the room. The display switches inputs when you plug in your laptop. All of this happens without anyone touching a control panel.
Red flag: If your conference room system requires an instruction sheet posted on the wall, it wasn't programmed correctly.

Week 1-2: Design & Engineering. Site visit, room measurement, acoustic assessment, network evaluation. We produce detailed drawings showing camera placement, display positioning, microphone coverage, cable pathways, and rack layouts.
Week 3: Pre-wiring (if new construction or renovation). Cable infrastructure installed before drywall goes up. This is the most important phase. Do it wrong and you're opening walls later to fix it.
Week 4: Equipment Installation. Displays mounted, cameras positioned, control panels installed, racks built, cables terminated and tested.
Week 5: Programming & Commissioning. DSP configuration, control system programming, network integration, testing, and optimization. User training for key staff.
Total timeline: 4-6 weeks from signed proposal to final commissioning for standard conference rooms. Larger deployments or complex integrations take longer.
